My CRB
All individuals or organisations using the Criminal Records Bureau (CRB) Disclosure service to help assess the suitability of applicant for positions of trust and who are recipients of Disclosure information must comply fully with the CRB Code of Practice.
INFORMATION TO BE PROVIDED BY EXCEL
- Excel will supply copies of the Disclosure Application form and supporting booklet.
- Excel will assist candidates in correctly filling out the form.
- Excel will provide a copy of our written policy on the correct handling and safekeeping of Disclosure information to your organisation or any candidates if requested.

- Background information on the organisation and the reasons why Disclosures are needed.
- Outline policy and statement on the correct handling and safekeeping of Disclosure information.

VERIFYING THE IDENTITY OF APPLICANTS
- Excel will verify the identity of the applicant only by the guidelines provided by the CRB.
- Excel reserves the right not to proceed with the processing of an application if the candidate provides insufficient supporting documentation or conflicting information.
LEVEL OF INVOLVEMENT POST APPLICATION SUBMISSION
- Excel responsibility begins and ends with the processing of the Disclosure Application Form.
- Once a recruitment (or other relevant) decision has been made, we will not keep Disclosure information for any longer than is absolutely necessary.
- If, in very exceptional circumstances, we consider it necessary to keep Disclosure information for longer than six-months, we will consult the CRB about this and will give full consideration to the Data Protection and Human Rights individual subject before doing so. Once the retention period has elapsed, we will ensure that any Disclosure information is immediately suitably destroyed by secure means i.e. by shredding, pulping or burning.
- We are not involved in any recruitment decisions relating to the positions under review.
- We will get the consent of the applicant to pass on a copy of their Disclosure result to the organisation for which they work or other nominees.
HANDLING, STORAGE & RETENTION OF DISCLOSURE INFORMATION
- Your organisation agrees to fully comply with the CRB Code of Practice regarding the correct use of handling, use, storage, retention and disposal of Disclosures and Disclosure information.
- Your organisation agrees to comply fully with its obligation under the Data Protection Act and other relevant legislation pertaining to the safe handling, use, storage, retention and disposal of Disclosure information. You are expected to have a written policy on these matters, which should be available upon request to those who wish to see it.
- Your organisation agrees not to keep Disclosure information on an applicant’s personnel file and is always kept separately and securely, in lockable, non-portable, storage containers with access strictly controlled and limited to those who are entitled to see it as part of their duties.
- In accordance with section 124 of the Police Act 1997, your organisation agrees to pass on Disclosure information only to those who are authorised to receive it in the course of their duties.
- Your organisation agrees to use Disclosure information only for the specific purpose for which it was requested and for which the applicant’s full consent has been given.
- In making a recruitment decision, your organisation must ensure that it complies with the CRB Code of Practice. A copy of CRB Code of Practice booklet has been enclosed with this Agreement.
CONDITIONS OF WITHDRAWAL OF SERVICE
- Excel or your organisation can terminate this agreement with two weeks notice in place.
- It is a criminal offence to pass on Disclosure information to anyone who is not entitled to receive it. Should your organisation be found in breach of either the Data Protection Act or the Police Act 1997, you will not be allowed to continue using this service under our umbrella.
- Should your organization not comply with the CRB Code of Practice regarding the handling, storage and retention of Disclosure information, you will not be allowed to continue using this service under our umbrella.
- Any other reasonable cause
PAYMENT METHODS AND PROCEDURES
- Cost per application is inclusive of C.R.B. charges and payable by cash, cheque (supported by bankers card) or by Debit or Credit card to Excel Passenger Services Limited.
- Either the applicant or the organisation on behalf of its nominated candidates will make payment. Enhanced Disclosure costs £56.00.
- Excel charges an administration fee per Disclosure application of £12.00, including those for volunteers.
